This Privacy Policy is issued in compliance with the Data Protection Act No. 3 of 2021 and Article 17 of the Constitution of Zambia.
Motex Technologies is the Data Controller in respect of all Wedding Data processed through the Wedding Manager and Door Bouncer applications, as defined under Section 2 of the Data Protection Act No. 3 of 2021. We collect and process the following categories of personal data: a) Account Data: Your name, email address, and hashed password used to authenticate your access. b) Wedding Profile Data: Couple names, wedding date, venue, and customisation preferences you enter into the app. c) Guest Data: Names, phone numbers, email addresses, RSVP status, meal preferences, seating, and group/seat assignments for your wedding guests. d) Check-In Records: Timestamps and device identifiers generated by the DoorBouncer check-in system during your event. e) Vendor Data: Contact details and notes for wedding vendors you add to the app. f) Device Data: Device identifiers used for session management and security enforcement. g) Usage Metadata: Anonymised logs generated during app use for debugging purposes.
Under Section 15 of the Data Protection Act No. 3 of 2021, we process your personal data on the following legal grounds: • Contractual Necessity: Processing your account and wedding data is necessary to perform the software service you have contracted. • Legitimate Interest: Device session management and security logging are necessary to protect the integrity of the service. • Consent: Where you enter the personal data of your wedding guests, you confirm (via this agreement) that you have obtained the guests' consent or that you hold a lawful basis to process their data. • Legal Obligation: We may retain certain records where required by Zambian law.
As the Licensee, YOU become a Data Controller in respect of your guests' personal data the moment you enter it into this app. Under Article 17 of the Constitution of Zambia and the Data Protection Act No. 3 of 2021, you must ensure you have a valid legal basis — such as consent — before recording any guest's personal information. You are solely responsible for compliance with the DPA 2021 in respect of guest data you add.
5.1 Storage Location: Account and wedding data is stored on Supabase infrastructure, which may be located outside Zambia. Cross-border data transfers comply with Part X (Sections 70–71) of the Data Protection Act No. 3 of 2021. 5.2 Retention Period: We retain your data for as long as your licence is active and for a minimum of one (1) year thereafter, consistent with Section 51 of the DPA 2021. After this period, data may be deleted or anonymised. 5.3 Local Cache: Device-level SQLite data is retained until you uninstall the app or clear app storage. 5.4 Right to Expire Weddings: As set out in Section 13 of our Terms and Conditions, we reserve the right to expire or deactivate a wedding record once the wedding date has passed, a trial or tier limit has lapsed, or a licence has not been renewed. Expiry restricts active use of the record but does not, by itself, erase your data; stored data continues to be governed by this retention policy until deleted at your request or upon lapse of the retention period. 5.5 Deletion on Request: You may request deletion of your data at any time by contacting us at motexsystemz@gmail.com. We will process the request within 30 days as required by Section 49 of the DPA 2021, in accordance with Section P7 below.
We do not sell, rent, or commercially share your personal data with third parties. We may share data with: • Supabase Inc.: As a data processor providing backend infrastructure. Supabase processes data under its own privacy policy and data processing agreements. • Legal Authorities: Where required by law, court order, or a competent Zambian authority under applicable legislation. • No Advertising: Your data is never shared with advertising networks or marketing platforms.
Under Part VI of the Data Protection Act No. 3 of 2021, you have the following rights in respect of your personal data: • Right of Access: Request a full copy of the personal data we hold about you, including your account data, wedding profile data, guest data, vendor data, and check-in records (Section 46, DPA 2021). • Right to Rectification: Request correction of inaccurate data (Section 47, DPA 2021). • Right to Erasure: Request deletion of any or all of your data where the processing purpose has ended (Section 49, DPA 2021). • Right to Restriction: Request that we limit processing of your data in certain circumstances (Section 50, DPA 2021). • Right to Object: Object to processing based on legitimate interest (Section 15, DPA 2021). • Right to Withdraw Consent: Withdraw consent at any time without affecting the lawfulness of prior processing. To exercise any right, contact: motexsystemz@gmail.com. If we fail to respond adequately, you may lodge a complaint with the Data Protection Commissioner of Zambia (www.dataprotection.gov.zm).
You are free to request, at any time and free of charge, a complete export of all data we hold about you, and/or the complete and permanent deletion of that data, by contacting us at motexsystemz@gmail.com. We will action such requests within 30 days, subject only to any residual retention required by law. Additionally, the Licensee who owns a wedding (the wedding organiser/couple) may request that the entire wedding record be permanently deleted in full — including all associated guests, tasks, vendors, expenses, schedule and program items, contributions, reminders, invitation designs, and DoorBouncer check-in logs. Once actioned, this deletion is irreversible and we retain no copy of the deleted wedding beyond any minimum period mandated by law.
We implement the following technical and organisational security measures in line with the Cyber Security and Cyber Crimes Act No. 2 of 2021 and DPA 2021 obligations: • Passwords are stored using industry-standard cryptographic hashing. • All data in transit is encrypted using TLS/HTTPS. • Device session enforcement limits simultaneous logins and detects revoked sessions. • Biometric authentication is available as an additional access control layer. • Access to backend data is role-controlled via Row-Level Security (RLS) policies on Supabase. In the event of a personal data breach that poses a risk to your rights, we will notify you and, where legally required, the Data Protection Commissioner, without undue delay.
The Wedding Manager and Door Bouncer apps are not directed at individuals under the age of 18 as primary users. Where a minor appears as a guest in the system, the Licensee (wedding organiser) is responsible for ensuring appropriate consent from the minor's parent or guardian before recording the minor's personal data, in compliance with the DPA 2021.
We may update this Privacy Policy as the app evolves or as Zambian law changes. Material changes will be communicated by prompting you to review and re-accept the updated Terms on next app launch. The date of the latest revision is indicated in the app version notes.
